Multi-site certification is a process that verifies that where an organization has more than one facility or operation, they all comply with the same standards and management systems.
Multiple facilities do not need to be under a single legal entity. The multi-site certification process ensures that where an organization has more than one site, each site is individually certified. These facilities may be in different geographical areas or in different lines of business. However, they must be operated and controlled by the same organization.
However, if all facilities are under the same legal entity, the certification process can be easier and more centralized. However, it is also possible for each facility to be certified and managed separately. The structure and business model of the organization will determine how this process is implemented. For example, a holding company may be an organization with multiple subsidiaries or branches. Each subsidiary or branch may have its own management systems and operations.
Multi-site Certification Processes;
The multi-site certification process involves the certification and verification of the conformity of each site.
Application and Assessment: The organization applies to the certification body and submits the information and documents required for certification covering all its facilities. The certification body reviews this information and initiates an assessment process.
Documentation Review: The certification body examines the documents related to the organization’s management systems and assesses their compliance with the standards. This review covers issues such as the availability of written policies and procedures, the suitability of documents and the effectiveness of the system.
On-site Audits: The certification body conducts on-site audits at the facilities. These audits are conducted to verify the practices, procedures and records of the facilities. Audits usually take place over a period of time and assess compliance with the requirements of the standards. Field sampling will be 25% randomly selected.
Reporting and Verification: Upon completion of the audits, the certification body prepares a report in which it states the conformity of the facilities. The organization reviews the report and initiates corrective and preventive actions to correct any nonconformities. Upon completion of these activities, the certification body performs the final verification.
Certification and Continuous Improvement: Once the conformity of all facilities has been verified, the certification body provides certification. However, certification requires continuous improvement and compliance throughout a process. The organization must make continuous efforts to maintain, improve and update its management systems.
Certification of all facilities demonstrates that the organization consistently complies with certain standards. This ensures consistency in product or service quality and gives customers confidence.
Since many facilities comply with the same management systems and standards, it increases cooperation and efficiency by sharing best practices between facilities by operating a common management system.
Since audits will be carried out by selecting different facilities by sampling method every year, it saves time and reduces costs.
Multi-site certification increases the reputation and corporate visibility of the organization. Values such as reliability, quality and sustainability are more highly appreciated by customers, suppliers and other stakeholders.
When the certification service is not received as multiple certification, each facility is audited separately and the cost and time increases, creating disadvantages for organizations.
